Running a Grading Session

Pick the students you're promoting, build a grading session, commit the promotions, and verify the new ranks landed on each student's profile.

Promotions happen in two stages: you create the session first, then grade it. Creating a session does not change anyone's belt — that only happens when you click Grade All.

Prerequisites

1. Check Who Is Ready to Promote

Start on the Dashboard. The Ready to Promote KPI counts students who have met the class-count minimum for their next rank, and the Promotion Alerts widget lists them. Use this as your starting point.

Click a student's name to open their profile and review their Progression tab before committing them to a grading.

2. Create the Grading Session

  1. Navigate to Grading in the sidebar.
  2. On the Create New Grading tab, students are grouped as Ready, Age-Blocked, and Not Ready. Search by name or scroll the groups.
  3. Tick the checkbox on each student you want to promote. Use Select All on a group to grab everyone in it.
  4. In the sticky bar at the bottom, click Add to Grading.
  5. Give the session a name (e.g. "Spring 2026 Belt Ceremony") and click Create.

The session is created as an upcoming grading. Each student's target rank is calculated automatically — you don't enter dates, notes, or belt ranks here. No one is promoted yet.

3. Grade the Session

This is the stage that actually awards the promotions.

  1. Go to the Upcoming Gradings tab and click View Details on your session.
  2. Review the roster. Each student shows their Current Rank and the Grading To rank. The Curriculum Req. column flags whether they've met their curriculum area requirements (informational only).
  3. To change a target, click Override on that student's row and pick a different belt or stripe — it'll be tagged Custom.
  4. Optionally click Download PDF to print a grading sheet for the mat.
  5. When you're ready, click Grade All, confirm the promotion date, and submit.

Every student in the session is now promoted to their target rank, the session moves to Past Gradings, and you're returned to the grading overview.

4. Verify Student Profiles Updated

Spot-check a few promotions:

  1. Navigate to Students.
  2. Open a promoted student's profile.
  3. Click the Progression tab.
  4. Confirm the new belt rank is shown and the promotion appears in their Promotion History.

5. Review the Session Record

Go to Grading → Past Gradings. Your session appears at the top. Click View Details to confirm each student's Promoted From and Promoted To rank, and to re-download the grading sheet if needed.
