Managing a Shift Request
When an instructor cannot cover an assigned class, they submit a shift request. This tutorial walks through approving the request, then reassigning the open shift so the class stays covered.
Prerequisites
- At least one instructor must be set up. See Instructors.
- Classes must be assigned to instructors in the Schedule.
1. Spot the Open Shift
When an instructor submits a shift request, the Dashboard's Uncovered Shifts widget updates with a count. This is your signal that action is needed.
You can also navigate directly to Shifts in the sidebar — pending requests appear immediately on the Shift Requests tab.
2. Review and Approve the Request
- Navigate to Shifts in the sidebar.
- On the Shift Requests tab, find the pending request.
- Review the class, date, and time to understand what will go uncovered if approved.
- Click Approve to release the instructor, or Deny to keep them assigned.
Approving marks the class as an open shift. The instructor is notified and removed from that class assignment.
3. Reassign the Open Shift
- Navigate to Schedule in the sidebar.
- Find the class with the open shift — it will be flagged with a warning indicator.
- Click the class to open the detail panel.
- Pick a replacement Coach from the dropdown, or tick a replacement under Assistant Instructors.
- Click Save.
The warning indicator clears and the Uncovered Shifts count on the Dashboard drops.
4. Confirm Coverage
Return to the Dashboard. The Uncovered Shifts widget should now show one fewer open shift. If the count is zero, all classes are covered for the week.
Handling Swap and Unavailability Requests
If an instructor wants to trade their shift with a colleague, that comes in as a Swap Request on the Shifts page — no manual reassignment is needed after approval. For planned time off, Unavailability Requests work the same way: approve or deny, then check the Schedule for any gaps that need filling.
