Building a Class Schedule
Set up your recurring weekly class calendar and get your instructors assigned. By the end of this tutorial, your schedule will be live with classes running every week and coaches assigned to each one.
Prerequisites
- At least one instructor added to GRADR — see Instructors.
Step 1: Add Your Classes
Each class you add to the template repeats every week automatically.
- Go to Schedule and switch to Template view.
- Click Add Class.
- Fill in:
- Name — what students see (e.g., "Adult Gi", "Kids Fundamentals", "Open Mat")
- Day(s) of Week — you can select more than one day to create the class on several days at once
- Start time and End time
- Class type — Kids, Adults, Intro Program, or Trial
- Tags — any custom labels for filtering (optional)
- Coach and assistants — you can assign them here, or later in Week view
- Click Create Class.
Repeat for every class in your weekly schedule.
Step 2: Assign Instructors
With your template set, assign coaches to each class for the current week.
- Switch to Week view.
- Click a class to open its detail panel.
- Pick the Coach from the dropdown (only coach-qualified instructors appear).
- Tick up to four Assistant Instructors from the checklist.
- Click Save.
Repeat for every class. Any class without a coach assigned will appear in the Dashboard's Uncovered Shifts widget as a reminder.
Step 3: Register Yourself as an Instructor (if you teach)
If you coach classes at your own gym, add yourself to the instructor roster so you can be assigned.
- Go to Instructors and click Add Instructor.
- Tick the This is me checkbox to link the record to your owner account.
- Set your belt rank and qualification, then submit.
You'll now appear in the Coach and assistant pickers on the Schedule.
Step 4: Handle Cancellations
When a class won't run on a specific date:
- In Week view, click the class.
- Click Cancel This Instance, complete the pay/reason form, and click Confirm Cancel.
This cancels that one occurrence only — the class continues on future weeks. If any students were booked, check Messages for the auto-drafted cancellation message and send it.
To close the gym for a full day, click Close Day next to the date instead.
